Boutique Experiences Booking, Cancellation & Travel Policy

This policy explains the general booking, payment, cancellation, rescheduling, travel, and event-day terms that apply to CDubz DeZigns Boutique Experiences, including the Onesie Station Experience and Tee Party Experience. Because each event may involve different package selections, locations, timing, travel, quantities, and venue requirements, the quote, invoice, booking confirmation, or written agreement for a specific event will control for that booking to the extent of the difference, subject to applicable law.

1. Inquiries and Booking Confirmation

Submitting an inquiry, completing an inquiry form, discussing an available date, or receiving preliminary pricing does not by itself reserve an event date. A Boutique Experience is considered booked only after CDubz DeZigns has provided written confirmation and any required retainer, deposit, reservation payment, or other booking requirement identified in the applicable quote, invoice, or agreement has been satisfied.

Event dates and times remain subject to availability until the booking requirements are completed. Customers should not rely on a date as confirmed until written booking confirmation has been received from CDubz DeZigns.

2. Package Selection and Event Details

The selected Experience package, included quantities, service window, event location, setup requirements, add-ons, and other event-specific details will be identified in the applicable quote, invoice, booking confirmation, or written correspondence. Package pricing and inclusions are based on the information provided at the time of booking.

Changes to the event date, start time, location, package, quantities, setup, or other material event details may require approval and may affect pricing, availability, travel charges, preparation requirements, or the service timeline.

3. Payments and Balance Due

Any required booking payment, retainer, deposit, installment schedule, remaining balance, and payment due date will be stated in the applicable quote, invoice, or booking agreement. Those event-specific payment terms apply to the reservation.

Failure to make a required payment by the stated deadline may affect the reservation, production preparation, travel arrangements, or CDubz DeZigns’ ability to provide the Experience as planned. CDubz DeZigns may pause preparation or release an event date when a required payment remains outstanding, subject to the terms communicated for that booking.

4. Client Cancellations

If a customer needs to cancel a Boutique Experience, the customer should contact CDubz DeZigns as soon as possible. Cancellation requests should be made in writing so the request and applicable booking terms can be reviewed.

The amount, if any, that may be refundable or transferable after a cancellation depends on the event-specific terms, the timing of the cancellation, and costs or commitments already incurred for the booking. A retainer, reservation payment, special-order merchandise, customized materials, design or preparation work, travel costs, or other nonrecoverable expenses may be nonrefundable when that condition was stated in the applicable quote, invoice, agreement, or written booking terms and is permitted by law.

5. Rescheduling Requests

Requests to reschedule an Experience are subject to CDubz DeZigns’ availability and are not automatically guaranteed. If a new date is approved, payments already made may be applied to the rescheduled booking when permitted by the event-specific terms.

A rescheduled event may require revised pricing or additional charges when the new date, location, travel requirements, package details, supplier costs, or other circumstances differ from the original booking. If the requested new date is unavailable, the cancellation terms applicable to the original booking may apply.

6. Changes to Date, Time, Location, or Scope

Customers should notify CDubz DeZigns promptly of any requested change to the event date, start time, venue, address, package, quantities, or other significant event detail. A change is not considered approved until CDubz DeZigns confirms it in writing.

Changes may require a revised quote, invoice, service window, travel fee, setup plan, or other booking adjustment. CDubz DeZigns cannot guarantee that material changes can be accommodated after event preparation, product sourcing, customization, or travel arrangements have begun.

7. Local Events and Travel

CDubz DeZigns may provide Boutique Experiences locally and may accept travel events on a case-by-case basis. Travel availability depends on the event date, location, service requirements, travel time, and other scheduling considerations.

When travel fees apply, they will be communicated as part of the quote, invoice, or booking terms before the event is confirmed or before additional travel arrangements are approved. Travel-related charges may include transportation or mileage, parking, tolls, lodging, airfare, baggage or equipment transportation, or other reasonable costs required to service the event.

Travel or delivery arrangements that differ from the original booking may require revised charges. Any customer-approved travel costs that become nonrecoverable because of a later cancellation or change may remain the customer’s responsibility when stated in the applicable booking terms.

8. Venue Access, Setup, and Event-Site Requirements

The customer or event host is responsible for confirming that the venue permits the Boutique Experience and for obtaining any venue approvals required for vendors, equipment, setup, or on-site service. The customer should provide accurate venue information and communicate known access restrictions before the event.

CDubz DeZigns must be provided reasonable access to the event space for load-in, setup, operation, and breakdown. Depending on the Experience and venue, reasonable access may include an appropriate setup area, safe electrical access when required, nearby loading access, parking information, elevators or stairs information, and sufficient space for the agreed setup.

Unexpected venue restrictions, delayed access, lack of required utilities, inaccessible setup areas, or other site conditions may require the setup to be modified and may affect the service window.

9. Outdoor Events and Weather

Outdoor Boutique Experiences require a safe and workable environment for guests, apparel, displays, and production equipment. Weather conditions such as rain, excessive wind, extreme heat, or other unsafe conditions may require the setup to be moved indoors or to another protected area, modified, delayed, shortened, or rescheduled.

The customer should discuss an appropriate weather backup plan with the venue or event host when an Experience will be held outdoors. Weather-related changes, cancellations, and rescheduling will be handled according to the event-specific booking terms and the circumstances at the time.

10. Event Timing and Delayed Access

CDubz DeZigns will plan service around the event time and service window confirmed for the booking. The customer is responsible for providing the agreed access time and communicating schedule changes as soon as possible.

If setup or service is delayed because the venue is unavailable, the event schedule changes, required access is not provided, or another circumstance outside CDubz DeZigns’ reasonable control prevents timely setup, the Experience may need to operate within the remaining confirmed service window unless an extension is available and approved.

11. Guest Participation and Equipment Safety

Boutique Experiences are interactive, but CDubz DeZigns retains control of heat presses, production equipment, and other tools used to complete apparel during the event. Guests should follow event instructions and should not handle production equipment unless specifically directed by CDubz DeZigns.

The event host remains responsible for the general supervision of children and guests at the venue. CDubz DeZigns may adjust the placement or operation of equipment when reasonably necessary to maintain a safe working area.

12. Products, Designs, and Event Inventory

Boutique Experience selections and event inventory are curated for the booked package and remain subject to supplier availability and the quantities confirmed for the event. If an approved item becomes unavailable, CDubz DeZigns will communicate a reasonable alternative when a meaningful substitution is required.

13. Circumstances Beyond Reasonable Control

Severe weather, venue closures, transportation disruptions, emergencies, widespread service interruptions, or other significant circumstances beyond reasonable control may affect safe or practical performance. CDubz DeZigns will communicate reasonable available options, which may include a revised setup, modified timing, rescheduling, or another appropriate resolution based on the circumstances and event-specific commitments already made.

14. CDubz DeZigns-Initiated Cancellation

If CDubz DeZigns cannot provide a confirmed Boutique Experience for a reason within its responsibility and a reasonable alternative or rescheduled date cannot be agreed upon, amounts paid to CDubz DeZigns for the event services that will not be performed will be refunded. Separately completed merchandise, approved custom work, or other portions of the order that were already fulfilled may be treated separately according to the applicable booking terms and law.

15. Order-Specific and Booking-Specific Terms

A Boutique Experience may include additional terms for retainers, payment deadlines, cancellations, rescheduling, travel, quantities, customization, venue access, setup, breakdown, or other event requirements. Terms included in a quote, invoice, agreement, or written booking confirmation apply to that booking in addition to this general policy.

16. Questions or Booking Changes

For questions or booking changes, customers should contact CDubz DeZigns and include the event name or booking reference, event date, and requested change whenever possible.
